TERMS AND CONDITIONS FOR REGISTRATION IN THE COURSES OFFERED BY INSTITUTO CERVANTES IN ALEXANDRIA

Enrollment conditions:

1. As a general rule, unless otherwise specified, the courses of Instituto Cervantes are addressed to adult public of students, older than 16 years of age.
2. The registration will only be considered valid, once the payment of the whole amount is done.
3. The registration payment includes an academic notification at the end of the course. In addition, it offers a free card/renovation to access the library of the Institute; which allows query and borrowing the contents of the library at the centre and the electronic library and other resources as well.
4. Those who have previous knowledge of the Spanish language and the students of the centre who have not attended any course for the previous 4 months, are to sit for an evaluation test to determine the level, having paid the corresponding fees in advance.
5. New students have to complete the requested form.
6. The fees of the registration do not include the material of the course, which should be paid separately.
7. The maximum number of students attending the courses at the centre is 15 persons. Said condition might be modified according to sanitary protocol variability every moment. For general courses online, the maximum number of students is 12 persons; meanwhile for special conversation courses online, the maximum number is 8 persons.
8. Instituto Cervantes in Alexandria has the right to cancel any course in case of not reaching the minimum number of required students. In this case, the whole amount of the payment will be refunded. In case a student of the cancelled course would like to transfer his/her registration to another course, the economic conditions of the selected course will be applied.
9. Assigning a certain teacher to a course is an exclusive responsibility of Instituto Cervantes, which might be subject to changes that the centre sees convenient, even if the course has already started.
10. Instituto Cervantes has the right to merge or divide a group if considered convenient.
11. The sessions missed for motives that are out of control of the Institute will not be recovered.
12. The duration of one teaching hour is 50 minutes.
13. The dates of exams and assignments are irremovable. Students who cannot take the exam (in no case will the evaluative tasks be repeated) on the scheduled date for justified reasons must notify cenalej@cervantes.es in writing, attaching the documentation justifying their absence. If the request is approved, Instituto Cervantes will set a new exam date within five working days before or after the original exam date.

14. Recording the class in any digital format, both audio and video is prohibited. If Instituto Cervantes needs to record classes, written permission will be requested from the students. The fact that a single student declines the request will imply the non-recording. Instituto Cervantes reserves the right to expel any student who violates this rule without the right to any refund of tuition fees.
15. It will be necessary to attend the online classes to have an adequate internet connection, a webcam, and a microphone. The student face must appear in the image and he/she must interact for the class's normal functioning. Instituto Cervantes may deny access to the online class to a student who does not connect the webcam and audio without the right to a refund of the registration fee.
16. Instituto Cervantes will not tolerate antisocial behavior in the classroom or any part of the Institute. Aggression, insults, verbal abuse, and harassment towards teachers, other students, or administrative and service staff will not be tolerated. This condition will involve warnings to the abuser and may include the student's expulsion if the behavior is severe.
Cancelation and refund:
• The registration is personal and not subject to transfer.
• If the student submits a written request of refund by mail at least 10 calendar days before the beginning of the course, the total refund of 100% of the registration will be applied.
The date and time of the request will be those that appear on the Instituto Cervantes server as a reference for the presentation of the request.
Once the mentioned deadline is over, no refunds or postponement are permitted.
• The request of cancelation of the registration and refund is to be directed to the email: cenalej@cervantes.es, indicating the following information:
- Last name, name and ID number of the student
- Last name, name and ID number of the payer (in case not the student himself)
- Copy of the proof of payment of the registration.
• The reimbursement will be refunded using the same means of payment (as the case may be, the same bank card used).
• The reimbursements of the corresponding sums of registration will be implemented within the following 15 days after receiving the request.
Access to the Centre and the Classrooms:
• To access the facilities of Instituto Cervantes, the student must present the registration card, Identify himself at the security checkpoint, with a valid document where the face of the student figures.
• The student´s face must be shown all the time during the classes whether online or face to face.
• Kindly be reminded that smoking is not allowed in the centre.
• Food and drinks are not allowed in the classrooms (except for water).
• It is not allowed to talk on the phone inside the classroom, and the mobile telephones must be put on silent mode.
• It is necessary to respect the timetable and break time.
Academic notifications:
• In order to obtain the notification, it is obligatory to pass the tests and attend at least 80% of the classes, except for justified absence (presented within the course period).
• The notification is to be requested via email directed to: cenalej@cervantes.es, by the end of each course and the original is to be collected at the secretary.
• Under no condition can the results be obtained over the telephone.
• Certificates cannot be issued for the courses of previous years. Only detailed personal file certification can be issued in such case after paying the corresponding fees.
Changing the group/class:
• If the student submits the change request via e-mail at least ten calendar days before the beginning of the course, they will have the right to change the group without penalty.
The date and time that will serve as a reference for the request will be the date and time that appears on the Instituto Cervantes server when the message is received.
• After this period (10 calendar days before the start of the course), requests for group changes will only be accepted in exceptional cases, duly documented, and subject to payment of a fee to the Secretary's Office for the change of course. Such changes require inevitably the approval of the Head of Academic Department.
The formalization of the registration of any course at Instituto Cervantes implies the compliance of the terms and conditions mentioned above.
